Job Description

Are you detail oriented and looking for a new challenge? Our client is seeking a Practice Assistant to join their dynamic and fast-paced Financial Services Group in the labour and employment sector. This role is ideal for a highly organized and detail-oriented professional who thrives in a collaborative environment, providing exceptional administrative and legal support to a team of lawyers.

Key Responsibilities

  • Serve as the primary point of contact for assigned lawyers, ensuring smooth workflow coordination.
  • Manage calendars, schedule meetings, and coordinate key dates, including client appointments and court deadlines.
  • Handle travel arrangements, document production, and general administrative tasks.
  • Maintain organized legal files, including opening and closing matters and conducting conflict searches.
  • Act as a liaison between lawyers, clients, and internal teams.
  • Monitor and respond to emails and correspondence promptly.
  • Assist with client inquiries and ensure all interactions are handled professionally.
  • Maintain and update client records within the firm’s CRM system.
  • Prepare and edit legal correspondence, agreements, and reports.
  • Review documents produced by the document production team for accuracy.
  • Assist with matter intake, billing coordination, and financial tracking.
  • Process invoices and manage payments related to legal matters.

Qualifications

  • Education: Legal Administrative Assistant or Law Clerk Diploma.
  • Experience: 2-5 years of experience as a Legal Assistant, preferably in a financial services or business law group.
  • Technical Skills: Proficiency in MS Office (Word, Excel, Outlook) and document management systems.
  • Organization & Time Management: Ability to manage multiple priorities and deadlines effectively.
  • Communication: Excellent verbal and written communication skills with a client-focused approach.
  • Collaboration: A team player with strong interpersonal skills, professionalism, and initiative
