We are seeking a Practice Assistant to join their Financial Services Group. The ideal candidate will provide exceptional administrative and legal support (Commercial and Construction) to our dynamic team of professionals. This role is perfect for someone who is organized, detail-oriented, and capable of thriving in a fast-paced legal environment.
Key Responsibilities
– Manage calendars and schedule meetings, providing timely reminders for lawyers.
– Organize meeting logistics, including booking conference rooms and arranging refreshments.
– Coordinate travel plans when necessary. – Handle document production, photocopying, printing, and courier services.
– Open and maintain client files, ensuring accurate records. – Assist with marketing tasks, such as preparing pitches and presentations.
– Serve as the first point of contact for inquiries from inside and outside the firm.
– Monitor and manage email correspondence, making sure to respond on time.
– Work with administrative departments to provide support as needed.
– Keep client information updated in the firm’s CRM system.
– Help with client questions and meeting arrangements.
– Review legal documents, reports, and presentations before they are finalized.
– Assist in preparing urgent emails and correspondence.
– Create and maintain financial reports and spreadsheets in Excel.
– Ensure lawyers record their time accurately.
– Support the billing process and coordinate with the accounts department as needed.
Qualifications
- Legal Administrative Assistant Certificate from an accredited institution.
- 2-4 years of experience as a Legal Administrative Assistant, preferably in financial services or commercial law.
- Strong knowledge of civil litigation procedures, including court filing and service protocols.
- Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
- Experience with ACL, iManage, and PrimaFact is an asset.
- Excellent communication, organizational, and multitasking skills.
- Ability to remain calm under pressure and manage deadlines effectively.
- Professional and detail-oriented approach with a strong sense of initiative.
