The Executive Assistant is responsible for providing high-level administrative support to the Senior Vice President, General Counsel and the company’s Legal department. This role requires someone with a proactive mindset, the desire to tackle challenges head-on, and the ability to thrive under pressure.
Key Responsibilities
- Prepare various presentations, reports, projects and other compositions
- Process and code expense reports and invoices
- Manage the SVP’s calendar and coordinate travel arrangements
- Screen and handle incoming inquiries, responding to various requests on SVP’s behalf
- Assist with onboarding and offboarding, as well as internal department changes
- IT troubleshooting
- Maintain filing systems, including opening and closing files
- Organize retreats and department events
- Other administrative and general support as needed
Qualifications
- 3-5 years of increasingly responsible administrative experience
- Experience in a legal environment is considered an asset
- Legal Administrative Assistant certificate is beneficial
- Strong computer proficiency including advanced MS Office skills (PowerPoint, Excel, Work and Outlook), experience with Worldox is an asset
- Extremely effective communication (written and verbal) and interpersonal skills
- Detail-oriented and highly organized with the ability to multitask effectively to meet deadlines
- Team-oriented and adaptable to changing requirements
