Events Coordinator /Administrative Assistant

We are seeking a highly organized and detail-oriented Events Coordinator / Administrative Assistant to provide essential support across office operations, corporate development activities, and company events

Key Responsibilities

  • Assist in planning and executing corporate events, both on-site and off-site.
  • Coordinate event logistics, including venue bookings, attendee management, catering, and transportation.
  • Support event setup, registration, and post-event follow-up.
  • Arrange travel accommodations, including flights, hotels, visas, and transportation.
  • Schedule and coordinate meetings, appointments, and conference registrations.
  • Manage document preparation, including printing, shipping, and downloading files from data rooms.
  • Provide reception coverage during absences, including answering calls, greeting guests, and managing couriers.
  • Assist with large meetings, including board meetings, luncheons, and office events.
  • Act as the Emergency Deputy, participating in required annual training.
  • Support employees with IT and A/V system training and troubleshooting.
  • Proofread and edit documents and presentations for accuracy and consistency.
  • Perform various administrative duties to support daily office operations.
  • Provide backup assistance to team members during peak workload periods or absences

Qualifications

  • Previous experience in an administrative and event coordination role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong multitasking skills and ability to prioritize tasks efficiently.
  • Excellent written and verbal communication skills.
  • A proactive and adaptable approach in a fast-paced work environment.
