We are seeking a highly organized and detail-oriented Events Coordinator / Administrative Assistant to provide essential support across office operations, corporate development activities, and company events
Key Responsibilities
- Assist in planning and executing corporate events, both on-site and off-site.
- Coordinate event logistics, including venue bookings, attendee management, catering, and transportation.
- Support event setup, registration, and post-event follow-up.
- Arrange travel accommodations, including flights, hotels, visas, and transportation.
- Schedule and coordinate meetings, appointments, and conference registrations.
- Manage document preparation, including printing, shipping, and downloading files from data rooms.
- Provide reception coverage during absences, including answering calls, greeting guests, and managing couriers.
- Assist with large meetings, including board meetings, luncheons, and office events.
- Act as the Emergency Deputy, participating in required annual training.
- Support employees with IT and A/V system training and troubleshooting.
- Proofread and edit documents and presentations for accuracy and consistency.
- Perform various administrative duties to support daily office operations.
- Provide backup assistance to team members during peak workload periods or absences
Qualifications
- Previous experience in an administrative and event coordination role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong multitasking skills and ability to prioritize tasks efficiently.
- Excellent written and verbal communication skills.
- A proactive and adaptable approach in a fast-paced work environment.
