Job Description

This is a fantastic contract opportunity to join an exceptional Executive team with a global organizational consulting firm, based in their downtown Vancouver office. Reporting to the Administrative Office Manager, you will be responsible for supporting the Executive team from an administrative perspective.

The role demands a strong communicator, who is confident, resourceful and personable, with the ability to think creatively on their feet and who loves working in an intense environment.

Ideal start date: mid-November. Preference given to candidates based in Vancouver – this is a hybrid / WFH position, that requires you in the office 1-2 days a week.

Key Responsibilities

This person will support the search process from an administrative perspective and is accountable to the Senior Client Partners (SCP) and search team with the following responsibilities:

  • Preparing client communications and presentation materials
  • Communicate regularly with clients, acting as a knowledgeable focal point regarding project activity
  • Develop and maintain a level of confidence and trust with each client
  • Coordinate calls/meetings between Executive team and clients
  • Arranging and expediting travel arrangements
  • Review and approval of monthly client invoices
  • Ensure internal databases are kept up-to-date
  • Staying in constant communication with the Executive team and supporting their activities with whatever is needed from an administrative standpoint
  • Participating in training new hires and temporary staff
  • File maintenance
  • Provide backup support in preparing beverages, food and cleanup for visiting clients or candidates when requested
  • Participating in regularly scheduled office meetings

Qualifications

  • A minimum 5 years’ administrative experience, preferably in a fast-paced, client-focused organization
  • Strong calendar management skills and experience
  • Ability to handle multiple tasks and deadlines
  • Superior oral and written communication skills
  • Extremely strong interpersonal skills
  • Ability to handle sensitive / confidential matters
  • Proactive, excellent problem-solving skills
  • Strong client service orientation
  • Advanced MS Office proficiency in Teams, Outlook, Word and PowerPoint
  • Database experience
  • Team player mentality; energetic, enthusiastic, with a positive attitude
