Executive Assistant – Option for 4-day work week

This Burnaby organization is seeking a team-oriented Executive Assistant to support their day-to-day operations and to assist their CEO and Board members. This will involve arranging travel logistics, providing Board meeting support, light accounting duties, among other administrative tasks.

Their ideal candidate will be outgoing, personable, and keen to join a tight-knit group of professionals that always have each other’s backs. Board support experience is a must for this role, and familiarity with basic accounting procedures is an asset.

They have recently modernized their office, so your workspace will be bright and comfortable. They are centrally located in Burnaby, easily accessible via the Canada Way bus route, and there is also free parking.

The hours for this role are Monday – Friday from 8.30AM-4.30PM but they are excited to be able to accommodate a 4-day work week depending on your preference. Candidates must have some flexibility for occasional travel to events.

Key Responsibilities

  • Prepare, edit and proofread various documents and correspondence
  • Meeting support including preparing agendas, sourcing meeting materials, booking meeting rooms and taking minutes
  • Schedule and coordinate travel arrangements
  • Assist accounting with invoicing
  • Answer and direct incoming calls
  • Other duties as needed


  • A minimum of 5 years’ experience in an executive administration role
  • Post-secondary diploma or degree in Business Administration or related field
  • Experience working with Boards, preparing agendas and taking minutes is required
  • Experience with event planning/management and light accounting functions is an asset
  • Proficiency with MS Office programs (Word, Excel, PowerPoint & Outlook) and CRM’s
  • Excellent interpersonal and communication skills
  • Proof of vaccinations required
