Job Description

Based out of the organization’s Burnaby office, the Events Coordinator is a part of the Canada HR Operations team and is involved in planning virtual and in-person events aimed at improving employee engagement and wellness. This includes providing logistics planning and communications support to a varied portfolio of engagement and wellness activities including the annual summer event, social committee, lunches, holiday celebrations, social gatherings, lunch and learns, webinars and programs, and more.

Key Responsibilities

  • Work closely with senior leaders and collaborate with HR Business Partners to plan and execute employee engagement and wellness needs for their respective teams
  • Support the planning, coordination, administration, logistics, execution, and follow-up of events
  • Create and maintain a calendar of events and coordinate the delivery of events on-time and on-budget
  • Communicate and promote events to employees and relevant stakeholders
  • Coordinate with accounting to execute accounts receivables and payables and to track revenue and expense budgets
  • Develop surveys, quick polls, and questionnaires to gather feedback and measure the effectiveness of events and employee experiences
  • Support ad hoc projects, tasks, and activities throughout the year

Qualifications

  • At least 1 year of hands-on experience with event coordination/setup, this could be in a corporate environment or in hospitality setting (such as a hotel)
  • Post-secondary education specializing in Marketing, Communications, Event Management and/or Business Management is preferred, but not required
  • Superb organizational skills with high attention to detail, with the ability to juggle multiple projects and tasks simultaneously
  • Experience working with and managing relationships with suppliers and vendors, along with experience overseeing and tracking event budgets
  • Good interpersonal skills in person and on the phone with a client focus and possess maturity and professionalism to work with employees at all levels
  • Open to using personal vehicle for infrequent transportation of items for events, travel to event site(s) etc. (reimbursement of travel expenses is available)
  • Open to occasional use of personal credit cards for corporate expenses and submitting expense reports for reimbursement
